This medical research and technology company, based West London, are at the cutting edge of new therapies and treatments. Not only that, they have an amazing office environment and company culture and are now looking for a Talent Acquisition Coordinator to work within the Talent Acquisition/ Recruitment Team. 

**This role is an ASAP start and, whilst offices are closed during this lockdown period, all interview stages will be carried out via Skype/Webex.  For the same reasons, the role will also be completely home-based initially, as will all training, and then it will be based in their West London offices once things normalise (as such, it’s essential that this location will be convenient for you to commute to going forward!).

**The role absolutely needs someone with previous experience dealing with the full range of recruitment administration tasks, from reference checking to organising skype interviews across international time zones. This experience can have been gained in a recruitment agency administrator role or in-house within an HR or recruitment department. Strong computer skills are essential and a good understanding of Excel would prove very helpful as assisting with metrics information for the Board will be a growing part of the role.

Further details on the role:   

The key function of this role is to support the Talent Acquisition/ Recruitment efforts in a high growth fast paced environment and to ensure that all administration around the recruitment process is flawless.  The team prides itself on delivering a great experience for both the Hiring Managers and Candidates alike.

Key Responsibilities:

  • Scheduling on-site, WebEx & telephone interviews across various time zones
  • Meeting/greeting candidates in for on-site interviews
  • Coordinating complex travel itineraries including booking flights, transfers and hotels
  • Scheduling pre- and post-interview review sessions
  • Processing candidate expenses and reimbursements
  • Raising purchase orders for recruitment fees and external suppliers
  • Advertising vacancies on job boards and company website
  • Maintaining the careers page on the company website & intranet
  • Managing the recruitment inbox
  • Booking room bookings and ordering lunches
  • Maintaining accurate recruitment trackers to support the work of the TA function
  • Compile data for monthly recruitment metrics
  • Management of the applicant tracking system and requisition approval process
  • Update and ensure accurate data entry
  • Providing training on the system to all new hiring managers
  • Maintaining up to date information on the contractor workforce
  • Assisting the Team Lead with workforce planning activities
  • Work closely with the EA/PA team in order to coordinate Exec Team availability for interviews.
  • Supporting the team’s Business Partners with administrative duties and ad hoc requests
  • Raising contracts via DocuSign
  • Data entry for background/reference check administration
  • Main point of contact for external agencies and other third parties
  • Various administrative duties associated with human resources: code and process expenses associated with talent acquisition, code miscellaneous invoices, compile and submit new hire paperwork to HR for processing
  • Perform administrative duties as required by key stakeholders.
  • Adherence to sensitive timelines, deadlines, and confidentiality
  • Multitask in a fast-paced environment while demonstrating strong organisational skills

Required experience:

  • Minimum of 2 years’ current/recent experience in a professional environment, serving in an administrative capacity
  • Experience of working in a recruitment environment
  • Excellent attention to detail, organization and accuracy skills
  • Proven ability to schedule complex appointments / interviews across multiple time zones and locations
  • MS Office proficiency plus experience
  • Experience of working with HRIS, ATS (preferred)
  • Strong customer focus
  • Ability to multi-task in a fast-paced environment
  • Flexibility to deal with changing schedules and priorities
  • Excellent communication skills: oral, written and listening skills
  • Ability to maintain a high level of confidentiality

Qualifications

  • Bachelor’s degree in business or relevant field, or equivalent years of experience required
