Our client, a leading biotech company based in West London, is looking for an experienced EA to support three senior executives.

**Please note: this is a Temp-to Perm position starting 9th August and we are only able to consider immediately available candidates (and we are not able to look at candidates on notice periods)**

Temp rate £18.00- 22.00 per hour (Permanent salary £35,000 to £45,000)

 

Key Responsibilities

  • Provide Executive Assistant support to three senior executives including the CTO and two VPs and assist with supporting the wider department as required.
  • Personal Assistant support to the CTO
  • Multiple diary management – liaising with external/internal VIPs, medical and scientific collaborators, suppliers, consultants, and colleagues.
  • Arrange complex domestic and international travel, conference attendance, visas and accommodation (personal & work related).
  • Flexibility to adapt to different time zones to suit CTO’s needs (mainly adapting to Eastern Time).
  • Provide personal support to the CTO when required (i.e. liaising with Property Manager).
  • Scheduling meetings F2F, TC’s and VC’s (using software such as MS Teams / WebEx).
  • Organise Town Hall meetings/Steering Committees/ Leadership Meetings.
  • Maintain SharePoint Site
  • Manage, create and receipt Purchase Orders.
  • Minute Taking (ad-hoc).
  • Manage incoming e-mail and post, corresponding on behalf of senior management in a timely manner, as requested;
  • Collate, check, reconcile expenses for the designated Executives whilst maintaining a record of expenses each to assist with budget and planning; using Microsoft D365
  • Organization of other ad-hoc meetings/interviews, as requested.
  • Working closely with the other members of the Corporate Support team to organize and support events (i.e. conferences).
  • To provide other Executive Assistants with support during A/L or absences.
  • Any other duties as required following consultation with the post holder.
  • The post-holder will be responsible for adhering to all health and safety guidance, provided by the Company.

The post-holder will come into regular contact with high profile internal and external stakeholders and will be required to professionally and positively represent the Company and the Executive Team at all times.

This is an evolving role and the above list of responsibilities is not exhaustive; the postholder may be requested to assume additional duties, as might reasonably be required.

Experience

  • At least 2 years’ experience working in an office environment providing high quality personal assistance support to senior level executives (E)
  • Experience working in biotech/pharma industry or hospital or medical clinic setting (E)
  • Experience coordinating complex travel logistics and working across different time zones (e.g. to set up conference calls etc.) (E)

Qualifications

  • Educated to Degree Level or equivalent relevant experience (P)
  • A degree in science or healthcare related fields (P)

Skills/Specialist knowledge

  • Microsoft Office Skills – excellent proficiency in Word, Excel, PowerPoint and Outlook required (E)
  • Excellent time management skills with the ability to multi-task (E)
  • Excellent organisational skills (E)
